ExCraft Group is hiring an Administrative officer at Burundi Branch
Primary Objective of The Position:
• The Office Administrator Oversees and achieves the organizational goals while maintaining an efficient, productive, and positive office culture and employee experience.
• Ensuring general management of office by overseeing operational efficiency, effective communications, and other strategic and tactical planning.
• Managing company facilities, including space planning/design, vendor contracts and relations, and office functions and services.
Job Descriptions:
• Coordinating office and operations activities to maintain work fluency and compliance with company policies.
• Submitting timely reports and preparing presentations/proposals as assigned.
• Scheduling and track meetings and appointments, book flights, and handle travel logistics.
• Greeting office visitors, answer and direct phone calls, field inquiries from sales representatives, and maintain office efficiency by arranging repairs.
• Monitoring the entire work process, and providing an evaluation of the process that has been carried out.
• Maintaining general office files including; job files, vendor files, and other files related to the company’s operations.
• Performing a variety of administrative duties, such as generating and distributing memos, letters, spreadsheets, forms, and faxes, and sorting and distributing incoming mail
• Managing the filing system between the headquarter and the other branches.
• Supporting all internal and external HR-related inquiries or requests.
• Assisting in all recruitment processes and procedures.
• Assisting in all marketing and customer service activities.
• Performing other relevant duties when needed.
• Preparing and send invoices, maintain client databases, track accounts, and assist with copying and distributing production orders and other internal documents.
Laws, Regulations, and Policies
• Follows all applicable laws relating to general law, Burundi labor law, and company policies.
• Compiling fully with the set of all HR & Admin reporting deadlines and guidelines, as outlined by the HR Manager.
Skills and Competencies:
• Fluency in French & English is a must.
• Graduate from an accredited college with a minimum of 2 years of practical experience is a must.
• Excellent knowledge of MS Office.
• Superb written and verbal communication skills.
• Very good knowledge of Burundi labor law, and HR best practices.
• Ability to maintain confidentiality of company information.
