JOB VACANCY POSITION

Position Title: Accountant Secretary.

Reports To: Senior Accountant and liaising to Finance Manager


Job Summary

Under the direct supervision of the Finance Manager, the Accountant Secretary will be responsible for accounting and financial compliance and administrative support for the grant managed within the World Relief Burundi program.


Specific Duties and Responsibilities

  • ▪ Preparing monthly Budget Variance reports for specific grants to ensure timely monitoring of the grant budgets against actual expenditure.
  • ▪ Preparation of the donor reports for the different grants as per the donor guidelines.
  • ▪ Maintains the data integrity of all financial transactions for all assigned grants and assists program managers, auditors, donors in identifying and collecting appropriate expense documentation.
  • ▪ Participant in the project Audits through preparation of all the audit requirements for the project Audits.
  • ▪ Support project Kick off meeting and Performs grant close outs at the end of the project.
  • ▪ Participate in budget preparation and budget revision of the grants.
  • ▪ Ensure that appropriate and adequate documentation exists for all transactions and maintain an orderly filing system for the same.
  • ▪ Make all the cash payments in the field and ensure any imprest are liquidated on a timely manner.
  • ▪ Regularly follow up spending versus planned budget and provide financial status at monthly basis to Finance manager, Country Director and Program Director.
  • ▪ Manage petty cash and closing out of the cash books together with the Finance Manager.
  • ▪ Verify grant request and facilitate payment.
  • ▪ Make sure all the filing related to proof of documents are well filled and entered them in the QB
  • ▪ Stamp all the proof documents once paid out.
  • ▪ In close collaboration with the logistics coordinator, ensure all the procurement process for the project Logistics is following WRB protocols and is respecting time required.
  • ▪ In collaboration with Project team, prepare and submit all invoices related to the project for reimbursement.
  • ▪ Provide general administrative support to the finance and program teams, including managing correspondence, filing, and documentation.
  • ▪ Ensuring all financial and administrative documents are properly organized and securely stored.
  • ▪ Assist in organizing meetings, workshops, and training sessions related to finance and Administration.
  • ▪ Respond to routine inquiries and support communication channels within the project.
  • ▪ Perform any other administrative or financial duties assigned by the Finance Manager to ensure operational efficiency.
  • ▪ Follow up with Finance Director to ensure activities are justified in three days after the activity is completed.
  • ▪ Ensure internal control is tight


Qualifications:

  • ▪ Bachelor’s degree in relevant field of accountant, Economics or finance.
  • ▪ CPA certified as an added advantage
  • ▪ Substantial demonstrable understanding and experience of Grant accounting within an international NGO.
  • ▪ Excellent computer skills especially Excel, Word, internet. Knowledge of use of QuickBooks accounting software is an added advantage.
  • ▪ Familiar with different donor Agency rules and regulations such World bank, USAID, UN agencies is highly preferred.
  • ▪ Familiar with financial Report in FACE is an added value
  • ▪ Ability to pay attention to detail, analyze and suggest solutions
  • ▪ Ability to work in a team, with minimum supervision
  • ▪ A fast learner, who can work under stress.
  • ▪ 5 years Minimum experience relevant including experience on grant accounting.
