ORGANIZATION SUMMARY:

Today, organizational programming focuses on humanitarian and disaster response, community strengthening and resilience, and refugee & immigrant services and advocacy.
General functions:
The Communication and Knowledge Management & Visibility Specialist will work under the direct supervision of the Business Development Manager. The person assigned to this role will have the overall responsibility for Knowledge Management, Brand and Visibility as well as Strategic Partnership within the organization. The Communication and Knowledge Management & Visibility Specialist must be committed to the mission of the organization, and have experience in Knowledge Management, Marketing and Partnership or Guest relations.
RESPONSIBILITIES:
1. Communication and Documentation:
- • Develop and maintain documentation of partnerships, agreements, and activities.
- • Harmonize and oversee communications procedures and ensure regularity and accuracy on all our social media platforms and other areas of communications.
- • Communicate effectively with internal and external stakeholders, sharing updates, progress, and results.
- • Create and uphold an easily accessible story and photo storage in gathering stories, photos, and videos.
- • Create WRB materials for branding and Visibility to promote the organization and its partnerships.
- • Ensure proofreading, translation, and typesetting of all communications within the organization to be accurate.
- • Ensure that the programs documentation, best practices, and lessons learned are in place and available on SharePoint
- • Oversee overall communications and preparations of in-country guests, with the support of operations team. This include Strategic Partners visits.
- • In partnership with local media, radio, provide country director with high resolution images with impact stories for all our program participants in monthly, quarterly and annual donor reports.
- • Update the WRB blog and post WRB impact stories on Facebook, LinkedIn and Instagram.
- • Edit written materials originating from WRB as needed to ensure quality of outgoing documents.
- • Design and produce visibility materials for a wide and diverse audience in the required language for quarterly and annual newsletters for donors and key stakeholders.
- • In collaboration with local media, hold monthly radio programs for the impact of the local church in development and WRB as a whole.
- • Identify and meet visibility needs of institutions;
- • Develop and conduct communications training for staff and volunteers.
- • Contribute to the creation of online content and manage the most effective social media sites according to WRB's culture by writing stories that highlight WRB's activities, accomplishments and impact.
- • Follow WRB's visibility guidelines and rules, while ensuring that other WRB staff follow these rules.
- • Identify new communication platforms and ideas
- • Work with M&E team to identify and fill visibility gaps
- • Document the projects implementation, interventions and processes step by step as per the Detailed Implementation Guide
- • Develop a strategy for the documentation of the strategic interventions and their impact
- • Collaborate with Program team to collect success stories, translate and compile them
- • Support the organization by providing communication materials of the work done on the field for staff or for any other use
- • Document and file all special events by WRB in an accurate manner and provide reports on covered events or general info on upcoming events
- • Strategize and implement file management and document storage for the organization.
- • Coordinate organizational events with the support of the unit staff as well as with the concerned team.
- • Ensure that organizational documents that need translation are done with quality and in context.
- • Work with the program teams in conducting awareness raising campaigns, events and workshops at the national and community level.
- • Participate in donor visits to showcase program progress and achievements.
2. Knowledge Management:
- • Develop and implement WRB knowledge management strategies and systems to capture, organize, and disseminate information within the organization.
- • Create and maintain a knowledge repository or database to store valuable documents, research, and best practices.
- • Encourage and facilitate knowledge sharing and collaboration among WRB staff and teams.
- • Regularly update and improve knowledge management processes and tools and share updates with the WRB staff.
3. Strategic Partnerships:
- • Collaborate with the leadership to identify and research potential strategic partners, including other organizations, government agencies, NGOs, and businesses.
- • Develop and maintain relationships with key stakeholders and partners including Church Partners.
- • Collaborate with partners to identify areas of mutual interest and work together to achieve common goals.
- • Negotiate and manage partnership agreements contracts and MOUs with follow up on their renewal.
- • Liaise with HO on the new partners.
- • Facilitate and organize donor trips.
4. Capacity Building:
- • Provide WRB training and support to staff on knowledge management best practices.
- • Build the capacity of the organization in terms of data collection, analysis, and reporting.
- • Offer guidance on effective partnership development and management.
5. Strategic Planning:
- • Contribute to the development of the organization's strategic plan, ensuring that knowledge management and partnerships align with the overall mission and objectives of WRB.
6. Monitoring and Evaluation:
- • Establish and implement mechanisms for monitoring and evaluating the impact of knowledge management and strategic partnerships on the organization's goals.
7. Budget Management:
- • Assist in management of the budget allocated for knowledge management and strategic partnership activities.
8. Compliance and Reporting:
- • Ensure WRB compliance with legal and regulatory requirements related to partnerships and data management.
- • Prepare and submit reports to relevant authorities as required.
- • Ensuring that the SharePoint page for Burundi is up to date and is easily accessible as well as friendly use by all staff.
9. Continuous Improvement:
- • Stay up-to-date with industry trends and best practices in knowledge management and strategic partnerships.
- • Continuously seek ways to improve and optimize processes and outcomes.
10. Perform any other duties as requested by the Country Director
REQUIREMENTS:
Education and Experience
• Minimum of a bachelor’s degree in marketing, library, administration; and three years of experience in a related field:
- o Experience in storytelling, social media and documentation processes.
- o Knowledge of office management and administration procedures.
- o Knowledge of in-design, Adobe Premier pro, Canva, or any other design applications.
- o Knowledge and experience in Video creative directory, photography and photo edits.
- o Good communication skills.
- o Knowledge in E - Documentation.
