Position:
Help a Child Burundi is currently recruiting a Finance and Administrative Assistant to assist the Finance Manager by managing the day-to-day operations of the Finance Department, responsible for Cash processing and record keeping of the day-to-day transactions in accordance with Help a Child Burundi policies and procedures. Specific responsibilities are as follows. The successful candidate will demonstrate a high degree of integrity, transparency and honest behaviour, understanding of both finance, administrative and procurement policies in Burundi.
Responsibilities
To assist the Finance Manager in ensuring that timely and accurate payments are made.
Prepare all payments and make sure that they are properly coded and supported with relevant necessary documents.
Ensure accuracy and completeness of payment documents in compliance to Help a Child Burundi and specific donor policies and procedures.
Ensure completeness of supporting documents in all respect which includes authenticity of signatures, cross-checking attendance sheets and verifying payments made to service providers, beneficiaries and stakeholders.
Coordinate with Help a Child Burundi team for advance issuance and there is timely adjustment of advances, field trips and training documentation.
Posting all vouchers into transaction spreadsheet on daily basis for review by the Finance Manager. Ensure that all information in the spreadsheet is correct and complete.
Processing of petty cash transactions on daily basis. Ensure petty cash is replenished on time to meet daily cash needs. Carry out cash count as per the Help a Child Burundi policy and schedule. Document the cash count sheets for records.
Ensure all the financial documents are properly filed & tagged.
‘Paid' stamping of all the invoices and related documents before filing.
Assist Finance Manager in monthly bank & account reconciliation.
Ensure timely preparation of tax & deposit into bank.
Visit Bank for necessary collection & submission of financial documents.
Photocopies & scanning of all necessary documents/Instrument.
Perform any other task assign by the line manager.
Requirements
This is an extraordinary opportunity for an individual with entry level experience in Finance, Administration and Logistics to be part of our organisation. Specific requirements include:
Have a least a bachelor's degree in Business administration, finance or other relevant field.
Have experience in financial, knowledge of subrecipient procedures and project management including procurement, budgeting, accounting and grand management as part of the overall project.
Have at least 1-2 years of experience in financial and administrative management of local or international projects and demonstrate knowledge in Help a Child financial management procedures and management systems.
Ability to wrote and review reports.
Excellent interpersonal and communication skills in French and English.
Proficiency in computer tools and relevant software.
Have a perfect commend of French and a good knowledge of English.

Desirables
Familiarity with HaC a Child Burundi's intervention strategies and UN Agencies Financial reporting.

We offer a financial package commensurate with qualifications and experience based on Help a Child Burundi salary benchmark. You will be offered a fixed term contract for the first year with a probation period of 3 months.
