Position Summary

The Grant Manager at Village Health Works (VHW) will serve as the primary project manager for grants,
overseeing implementation, compliance, and reporting requirements from start to finish. The role ensures that
donor funds are used in compliance with grant agreements, organizational policies and regulatory requirements,
this role ensures that grant-funded projects are well-coordinated, deliverables are met on time, and high-quality
reports are produced for donors. The Grant Manager will track progress against objectives, maintain excellent
communication with program leads, and support stewardship efforts by documenting impact stories and lessons
learned.
Based in Kigutu, Burundi, the Grant Manager will act as a central liaison between program teams on the ground
and the development team internationally.
While the finance team manages budgets and compliance, the Grant Manager will liaise closely with the
Finance/Grant Compliance Officer to ensure accurate, timely, and coordinated narrative and financial reporting.
This position will supervise the Community Health Programs Director and will be in charge of the Alongside
Hope project and Community Health Workers.

Key Responsibilities

1. Project Management of Grants – 30%
. Serve as the overall coordinator for all grant-funded projects, ensuring activities are aligned with grant
agreements and organizational priorities.
. Develop and maintain detailed work plans, calendars, and deliverables for each grant.
. Monitor progress against goals, troubleshoot challenges, and escalate issues when necessary.

2. Compliance & Reporting – 25%
.Oversee adherence to donor requirements and timelines in collaboration with program staff.

.Draft, edit, and finalize high-quality narrative reports for donors, ensuring accuracy and clarity.
. Liaise with the Finance/Grant Compliance Officer to align financial and narrative reporting and ensure
compliance with donor regulations.
. Track and document all grant-related outcomes, impact metrics, and lessons learned.

3. Collaboration & Communication – 20%
.Act as the bridge between Kigutu-based program teams and the international development/fundraising
team.
. Organize regular grant review meetings with program staff to capture updates, challenges, and success
stories.
.Provide timely updates to the development team to support donor stewardship and communications.
. Flag and problem solve when projects are not on track.

4. Donor Stewardship Support – 15%
. Contribute to donor-facing materials, including success stories, case studies, and photos that highlight
impact.
. Support site visits and donor trips, coordinating with program teams to showcase activities and results.

5. Capacity Building & Systems – 10%
.Develop tools and systems to strengthen grant management processes across the organization.
. Train staff on donor requirements, reporting standards, and documentation practices as needed.

6. Qualifications & Skills
6.1.Education & Experience
. Bachelor’s degree in international development, public health, social sciences, or a related field
(Master’s degree preferred).
. Minimum 3–5 years of experience in grant management, project management, or donor reporting in a
nonprofit or international development setting.
. Experience working in multicultural and/or resource-limited contexts strongly preferred.

6.2.Knowledge & Technical Skills
. Strong understanding of donor reporting requirements (foundations, bilateral/multilateral donors,
INGOs).
. Excellent project management skills, with the ability to manage multiple grants simultaneously.
. Demonstrated ability to draft, edit, and finalize high-quality narrative reports in English (required).
. Proficiency in French and/or Kirundi is a strong advantage.
. Familiarity with monitoring and evaluation frameworks and outcome tracking.
.Ability to liaise effectively with finance staff on grant budgets and compliance.

6.4.Other Requirements
. Willingness to be based in Kigutu, Burundi, with periodic travel to Bujumbura and potential
international travel.
. Flexibility to work across time zones with international colleagues.
