Under the overall supervision of the Chief of Mission, in close coordination with the Procurement and Logistics Officer, and with the direct supervision of the Head of MHAC, the incumbent is responsible for managing pharmaceutical stocks and ensuring prompt and accurate for stock keeping of the Pharmacy and maintaining accurate data and information. The candidate will assist with logistics for equipment and consumable transport in the Pharmacy.

Core Functions / Responsibilities:

  1. Ensure strict adherence to fraud prevention measures in all aspects of work performed for refugees/migrants.
  2. Receive and verify Pharmacy Stock Requests forms for dispatch to the relevant Ensure that PIMs & IMS are regularly updated detailing incoming and outgoing stocks.
  3. Generate and submit weekly and monthly stock reports in a timely to the Head of MHAC, Head of Nurses and Procurement & Logistics Officer.
  4. In coordination with the Head of Nurses and Head of MHAC, Measure and evaluate stock activity levels for re-ordering purposes. Ensure that stock levels are above the stock contingency levels at all times.
  5. Assist in identifying risks in managing stocks, and report to the Head of MHAC and Procurement and Logistics officer with possible mitigation measures to be implemented.
  6. Serve as the focal point, in coordination with the Head of Nurses in terms of planning of stock replenishments and movement of stocks.
  7. Conduct cyclical stock counts for inventory Ensure regular stock-taking is conducted including preparation of physical and theoretical reports.
  8. Monitoring of stock levels and expiry dates in all storage locations
  9. Implement and control systems for stock control. Capture stock transfers, consumable transfers.
  10. Report in advance on stocks that are expiring within 3-6 months to the Head of MHAC for appropriate actions to be taken.
  11. Report on all damaged stocks, loss of stocks, and overage of stocks to the Head of MHAC, and Procurement & Logistics officer with clear justifications for appropriate actions to be Ensure disposal of stocks are coordinated with the Head of MHAC, COM, Procurement & Logistics officer, RO-MHD.
  12. Ensure that the Pharmacy is well maintained in terms of cleanliness and accessibility. Ensure that the cold room and freezers are regularly monitored to ensure that stocks are maintained on approved temperature control guidance.
  13. File and record details of new stocks and dispatched stocks. Ensure that all files are filed and recorded keeping with IPSAS compliance
  14. Maintain and update PIMs & IMS databases for Burundi Mission
  15. Coordinate import/export permit acquisition for laboratory, medical, pharmaceutical supplies and equipment from relevant regulatory bodies.
  16. Suggests improvements on improving stock management.
  17. Perform other related duties as may be assigned by Program Manager/Supervisor.

Required Qualifications and Experience Education

  • Bachelor’s degree in Pharmacy.
  • Valid registration with Pharmacy regulator in Burundi.
  • Secondary school diploma from an accredited educational institution
  • International Business Administration qualification an advantage

Experience

  • Three years’ experience in Pharmacy practice.
  • At least 3 years’ experience in handling drugs and vaccines in international organizations, NGOs or pharmaceutical companies will be an added advantage.
  • Experience in supply chain management or additional training in International Business Administration will be an advantage.
  • Experience in programs of Access, Excel, Microsoft Office
  • Knowledge of programming is an advantage
  • Good writing skill desirable
  • Good knowledge of IOM procurement management systems a plus
  • Analytical, communication, interpersonal and advocacy skills, sensitive to and awareness of the local development, good knowledge of computer management and applications, experience in using Microsoft Office tools.
  • Demonstrated ability of working effectively and harmoniously with colleagues from varied culture and professional backgrounds in order to achieve desired goals.

Languages

  • French and English are required.
  • Knowledge of Swahili is an advantage

Burundi has been an IOM Member State since 2007. In 2010, Burundi and IOM signed a cooperation agreement that led to the establishment of an IOM Mission in Burundi.

The mission works closely with the Government of Burundi in implementing the core migration-related challenges in the country. The Organization’s current main activities in Burundi are related to: 

Refugee resettlement and reintegration. IOM works in close collaboration with the United Nations High Commissioner for Refugees (UNHCR) in Burundi to make the refugee resettlement to third countries a reality and as least arduous as possible. While UNHCR is responsible for ensuring the protection of refugees, IOM facilitates their movement to third countries.

Refugee assistance. Since 2002 to date, approximately half a million refugees were registered by UNHCR to return to Burundi from different countries. In addition, the country still has an estimated 100,000 IDPs.
