I. JOB SUMMARY
The Driver and Logistics Assistant reports directly to the Logistics Coordinator. The incumbent provides safe transport services of passengers as required ensuring that safety regulations are adhered to by passengers at all times. In addition, he/she provides logistical support for Right To Play’s office.
II. SUPERVISORY AND ADVISORY RESPONSIBILITIES
The incumbent supports the country staff. For this position, the Driver & Logistics Assistant will report to the Logistics Coordinator.
III. RESPONSIBILITIES
- Driving services and Vehicles Maintenance (Time: 48%)
- Transports Right To Play staff and visitors in relation to their work duties;
- Maintains the vehicles and informs the line manager at least two days in advance of when a vehicle will be temporarily unavailable for regular servicing. In the case of emergency servicing, informs the Project Officer as soon as possible.
- Ensures that vehicles have sufficient fuel in advance;
- Ensures all maintenance, donor logistics and procedures are fulfilled;
- Ensures that timely periodic vehicle/generator maintenance is conducted according to the specified kilometer coverage and running time;
- Monitors the issuing and use of fuel by maintaining accurate, clear and transparent record of fuel consumption.
- Takes timely action to review driving licence. Immediately informs the line manager if driving licence is no longer valid or about any other incident that may affect driver’s ability to perform his/her duties/tasks;
- Ensures that necessary tools for changing inflated wheels, spare wheels, first aid kit and emergency kit are present at all times in the vehicle;
- Advises on road conditions for country side travel to ensure the safety of passengers.
- Keeps the vehicle clean and tidy at all times.
- Logistical support (Time: 48%)
- Handles all Right To Play payments to the government departments such as Taxes, NSSF;
- Assists with purchasing office supplies, stationery and equipment and arranges for repair of office equipment to ensure that the office is in good order within the petty cash limits and according to the Right To Play Policies and procedures
- Creates purchase orders, ensuring relevant procurement procedures have been applied and all supporting documentation is attached.
- Ensures invoices received reconcile to purchase orders and matched receipts of purchase orders.
- Coordinates with suppliers for the procurement of office supplies and equipment.
- Oversees the management of the store and keeps the store in good condition.
- Checks balances of goods and equipment and reports to the Logistics Coordinator.
- Produces monthly stock reports for Logistics Coordinator and FM’s consideration.
- Facilitates arrangements for visitors, meetings, conferences, security check and special events.
- Performs other duties as assigned (Time: 4%)
IV. PLANNING AND ORGANIZING
The incumbent is responsible for scheduling his/her own work based on work priorities and subject to oversight of the line manager.
V. MINIMUM QUALIFICATIONS (Must have)
(A) EDUCATION/TRAINING/CERTIFICATION
- High school or vocational school diploma;
- A valid driving license.
(B) EXPERIENCE
At least 2 years’ experience serving in a similar position.
(C) COMPETENCIES / PERSONAL ATTRIBUTES

- Good interpersonal and organizational skills;

(D) TECHNICAL SKILLS
- Understands and performs safe driving techniques;
- Skilled in minor car repair;
- Able to drive for long periods of time;
- Familiarity with traffic laws and regulations;
- Understands highway code and road rules of the country;
- Understanding of safety and security elements;
- Knowledge of First Aid;
- Ability to follow up on weather conditions;
- Ability to use the computer with advanced knowledge of Ms Excel and Word applications.
(E) LANGUAGES
Fluent in Kirundi. Knowledge of French and English is a plus.
VI. DESIRED QUALIFICATIONS (An Asset)
- First Aid training;
- Previous experience working in an international organization;
- Drivers school training;
- Advanced auto repair skills;
- Advanced knowledge of security procedures in the country.
VII. JOB CONTRIBUTIONS/IMPACT
(A) PROBLEM SOLVING
The incumbent is expected to deal with day to day work issues independently. Seeks guidance from the Logistics Coordinator when dealing with unusual situations.
(B) FINANCIAL IMPACT
The incumbent is expected to avoid unnecessary waste or expense and ensure that all purchases and car expenses are being approved. He/she is expected to provide all invoices and receipts to the Finance Coordinator.
(C) RELATIONSHIP MANAGEMENT
The incumbent expected to enhance relationships with all staff in the country office. The incumbent is expected to maintain good relationships with counterparts in the banks and insurance providers.
