Terms of Reference (ToR)

Mental Health Support Services for Teachers and Students at Kigutu International Academy (KIA)

1.      Background and Rationale

Mental health challenges among students and educators can affect academic performance, classroom behavior, and overall school climate. In alignment with KIA’s mission to foster holistic education, this program aims to proactively and systematically address mental well-being. This initiative is grounded in the philosophy of Village Health Works (VHW), which emphasizes the integration of health, education, and dignity in community development. VHW believes that well-being is central to human potential and that investing in mental health support is essential to nurturing resilient, empowered, and compassionate individuals.

2.      Objectives

  • Provide mental health support services to teachers and students.
  • Develop coping strategies and stress management techniques.
  • Foster a positive and supportive school environment.

3.      Scope of Work

  • Deliver mental health support services in both English and French.
  • Provide individual and group counseling sessions for teachers and students.
  • Develop and implement mental health programs and workshops.
  • Collaborate with KIA staff and administration to promote mental health awareness and education.

4.      Ethical Considerations and Safeguarding

All services must adhere to strict confidentiality protocols, and informed consent must be obtained before any individual counseling. Mandatory reporting obligations under Burundian law and school policy must be followed when necessary.

5.      Service Duration and Frequency

The mental health professional will conduct monthly follow-up sessions and be available for ad hoc interventions as needed. A quarterly review will be performed to assess progress and adapt the program accordingly.

6.      Deliverables – Online/Virtual

  • Mental health support services for teachers and students.
  • Counseling sessions and workshops.
  • Regular progress reports and evaluation of mental health support services.

7.      Requirements

  • Professional mental health certification and experience.
  • Experience working with children and adults.
  • Ability to deliver services on-site at KIA, if necessary.
  • Excellent communication and interpersonal skills.

8.      Referral and Emergency Procedures

Any identified high-risk cases (e.g., suicidal ideation, abuse, substance use) will be referred to appropriate local mental health facilities or authorities in coordination with the Head of School and KIA’s Safeguarding Focal Point.

9.      Capacity Building

The consultant will train at least two KIA staff members on basic psychosocial support and mental health first aid to ensure continuity and internal capacity.

10.  Reporting

The mental health professional will report to the Head of School, providing monthly summary reports and a final evaluation report (due October 10, 2025). Reports must include attendance, key themes discussed, challenges encountered, and recommendations for future action.

11.  Key Performance Indicators (KPIs)

  • Number of sessions conducted (individual/group).
  • Participation rate of students and teachers.
  • Pre- and post-session feedback forms.
  • Observable reduction in reported stress levels (survey-based).
  • Referrals made for more advanced care (if applicable).

13.  Budget and Resources

The consultant will submit a detailed budget, including professional fees, relevant workshop materials, and any other associated costs. KIA will provide venue space and logistical support, if applicable.
